This policy explains how BookedCore collects, uses, shares, and protects information across this website, our booking flow, and our operated AI systems for service businesses.

This page is intended to describe our practices in practical terms. It is not a substitute for a lawyer reviewing your specific obligations, especially if your business operates in regulated industries such as law, healthcare, finance, or real estate.

Information we collect

When you use this website, submit a contact form, book a call, or communicate with us, we may collect your name, email address, phone number, business name, product interest, industry or practice area, business size, inbound volume, and anything you choose to include in a message.

We may also collect basic technical information about your visit, including device information, browser type, pages viewed, referring URLs, and approximate location derived from your IP address. If analytics or similar tools are enabled, they are used to understand site performance and interest in our services.

If you become a client, we may process additional business information needed to configure and operate a vertical AI operating system for you. That may include inbound messages, call metadata, transcripts, routing rules, calendar information, CRM records, and operational notes. Client production data is handled under the applicable services agreement, order form, data processing terms, or similar written agreement.

How we use information

We use information to respond to inquiries, prepare for calls, evaluate fit, operate the website, send booking confirmations, provide services, configure systems, troubleshoot issues, improve performance, maintain security, and comply with legal obligations.

For clients, we use operational data to provide the contracted service: capturing inbound demand, qualifying contacts under client-approved rules, routing leads, assisting with booking and follow-up, producing reports, and maintaining an audit trail.

We do not use client conversations to give legal, medical, financial, or other regulated professional advice. Any regulated workflow is configured around client-approved rules, escalation paths, and human review.

How we share information

We share information with service providers that help us operate the business, such as website hosting, email delivery, database infrastructure, scheduling, communications, analytics, automation, and AI infrastructure providers. These providers are permitted to use information only to provide services to us or as otherwise allowed by law and contract.

Examples may include providers such as Cal.com for scheduling, Resend for email notifications, hosting providers, database providers, communications platforms, CRM or calendar systems, and AI infrastructure providers used to operate client-approved workflows.

We may disclose information if required by law, legal process, government request, security investigation, business transfer, or to protect the rights, safety, and operations of BookedCore, our clients, or others.

We do not sell personal information in the ordinary sense of exchanging it for money. We also do not publish client identities, client information, or case studies without explicit written permission.

SMS Messaging

BookedCore and its law firm clients may send SMS text messages to individuals who have provided express written consent via our intake form. Mobile phone numbers and SMS consent are never shared, sold, or transferred to third parties or affiliates for marketing or promotional purposes. Message and data rates may apply. You may opt out at any time by replying STOP to any message. For help reply HELP.

Data retention

We keep information only as long as reasonably necessary for the purposes described in this policy, including responding to inquiries, maintaining business records, providing services, resolving disputes, enforcing agreements, and meeting legal obligations.

Client operational data is retained according to the applicable client agreement, configured retention settings, or written instructions. If no specific retention period is agreed, we retain it only as long as reasonably necessary to operate and improve the service, maintain security, and satisfy legal or accounting requirements.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, or alteration. No system is perfectly secure, and we cannot guarantee that information will never be accessed, disclosed, altered, or destroyed.

We design client systems with guardrails, logs, transcripts, and escalation paths so that automation supports human judgment rather than replacing it.

Your choices and rights

You may contact us to request access, correction, deletion, or restriction of personal information we hold about you. We will respond as required by applicable law and may need to verify your identity before acting on a request.

Depending on where you live, privacy laws may provide additional rights, including the right to know what personal information is collected, request deletion, correct inaccurate information, opt out of certain sharing, or limit certain uses of sensitive information. If those rights apply, we will honor them as required.

You can unsubscribe from marketing emails if we send them. Transactional emails related to bookings, service delivery, security, or business communications may still be sent where appropriate.

Children

BookedCore is a business-to-business service. Our website and services are not directed to children, and we do not knowingly collect personal information from children under 13.

We may update this Privacy Policy as our business, services, or legal obligations change. The updated version will be posted on this page with a new effective date.
